EVENT (WEDDING) TERMS & CONDITIONS OF BOOKING
BRYNHILL GOLF CLUB, PORT ROAD, BARRY CF62 8PN
These terms and conditions constitute the Contract between the client and Brynhill. The Contract will become effective upon receipt of the deposit for the event together with the signed copy of the Terms and Conditions. Please submit the agreement form at the bottom of this page.
1. ROOM HIRE
Bookings are provisional until receipt of the wedding deposit. Brynhill reserves the right to cancel the booking without liability in the event of non-payment of the deposit. All deposit payments are non-refundable except under circumstances defined in section 3.
The deposit required will be a minimum of £250 or 10% of your package.
A bond of £150 is payable 14 days prior to the event – this must be paid in cash. This is refunded in full after the event, at the discretion of the Committee. The Committee will take into account any damage to Club property, misconduct by guests, and leaving function rooms and facilities in an unreasonable state. Inclusive of excessive cleaning required or damage to walls, ceilings or carpets from any decorations used.
2. FINAL PAYMENT
Final numbers, details and payment will be required 14 days prior to the event. The final balance will also be required - please refer to your wedding contract that will state payment terms and timings.
3. CANCELLATION
In the unfortunate event of your function being cancelled, Brynhill reserves the right to retain the deposit paid for that event.
Brynhill may, at its sole discretion, cancel at any time, any function it deems may be unsuitable or disruptive to Brynhill and in such an event will refund all monies paid in advance by the client and shall be deemed to have no further liability arising from the cancellation. In the event that a client is found to have misrepresented the nature of the event, Brynhill reserves the right to cancel the event without refund of monies paid in advance.
Cancellation charges prior to the event will be applied as per your wedding contract.
4. GENERAL
• For weddings / wedding parties, the earliest possible access to the function room for the purpose of decoration is 1 hour prior to the event, unless specifically agreed with Brynhill. The start time of your event will be agreed with Brynhill and guests are not permitted to arrive before this time unless agreed with us.
• On arrival at Brynhill, the person organising the event must make themselves known to the head bar person.
• The maximum capacity of the function room is 120 people and this must not be exceeded.
• Only food / alcohol provided by the Caterer or Bar at Brynhill can be consumed on the property. A concession will be made for a celebration cake. No food or alcohol can be brought, or ordered in by you or any of your guests.
• Guests are permitted access only to the function room that has been privately hired. Access to any other areas of the clubhouse, including but not limited to the Sports Bar (a members-only area), is strictly prohibited. Use of the patio area is not included in the room hire. Access to this space may be granted at the discretion of clubhouse staff and is subject to availability at the time of the event.
• Children must be supervised at all times and should be kept within the room hired. On no account should children be allowed to wander around the club house or onto the patio or golf course. Children are not allowed to play Football/Games in the car park, on any part of the course or near club equipment. All children under the age of 16 need to vacate the club by 8pm.
• For reasons of safety the golf course is strictly out of bounds to all guests for the duration of the event. Any children or guests going onto the golf course could result in your event closing and will result in the forfeit of your bond.
• We do not allow the use of candles with live flames or confetti/sprinkles in the Clubhouse. No party banners or bunting can be fixed to any walls to prevent damage. Fireworks & Chinese lanterns are also not permitted at Brynhill.
• Underage drinking and the use of drugs is strictly prohibited. Unruly behaviour or abuse to bar staff will not be tolerated and Brynhill reserves the right to ask any guests involved to leave the premises. If the party is deemed to be out of control, then the Bar Manager or Deputy have the right to close the Club and end the event . The Club reserves the right to refuse to serve anybody that appears to be intoxicated.
• Brynhill shall not be liable for any loss or damage to the property owned by or in custody of the client or guests. Table cloths and other table linens, chair covers, flower arrangements and decorations etc. brought in for the event are the sole responsibility of the organiser and Brynhill will not accept any liability for loss or damage of these items. All items should be removed from Brynhill at the end of the event.
• The organiser will be responsible for any fees payable for performers, acts, disco’s etc. booked on behalf of any member of the party. The DJ must stop playing music once the bar has closed.
• There is a smoking area on the patio, no smoking is permitted at the front of the building. Under no circumstances can glasses be taken out of the main entrance, leading to the carpark.
• Laptop connections to our TVs are not permitted due to data protection and cybersecurity risks. You may display photos via a USB memory stick provided in advance.
• Cars parked at Brynhill are left entirely at the risk of the owners and guests.
• The persons booking and paying for the room hire / wedding event is liable for any damage to the building, furniture, fixtures, or grounds caused by themselves or their guests as a result of misconduct or negligence.
5. EVENT CONDUCT & TERMINATION
• Brynhill Golf Club reserves the right to take immediate action in the event of disorderly, disruptive, or unsafe behaviour by any guest or attendee. This includes, but is not limited to, the closure of the bar service and/or the early termination of the event. Such action will be taken at the sole discretion of clubhouse staff or management, and no refund or compensation will be provided in these circumstances. The hirer shall remain responsible for the conduct of all guests and for any costs arising from damage or disturbance.
Brynhill reserves the right to amend these terms and conditions at its own discretion provided such amendments are notified in writing to the client. Brynhill also reserves the right to revise quotations where prices may be affected due to reasons beyond its control. In such an event the client will be notified in writing.

Upon submission, this will constitute a legally binding electronic agreement between you, the hirer, and Brynhill Golf Club.
